Privacy Policy

Your health information is deeply personal, and we treat it that way. This policy explains how Artemis Apotheca, operated by Samantha Hardes-Ackerman, ABN 21 698 865 209, collects, uses, stores and protects your personal and health information.

We comply with the Australian Privacy Principles in the Privacy Act 1988 (Cth) and the Health Privacy Principles in the Health Records and Information Privacy Act 2002 (NSW).

What we collect

  • Contact details: your name, date of birth, address, email and phone number

  • Health information: your health history, symptoms, medications, supplements, lifestyle, emotional wellbeing and anything else you share during consultations

  • Test results, and reports from other health practitioners you choose to share

  • Consultation notes and treatment plans

  • Payment and billing details (card details are handled by our payment provider, not stored by us)

  • Basic website data, such as pages visited, collected through our website platform

How we collect it

Mostly directly from you: through intake forms, consultations, emails and bookings. With your consent, we may also receive information from testing laboratories or other practitioners involved in your care.

Why we collect it

  • To provide safe, individualised naturopathic care

  • To manage bookings, payments and reminders

  • To order prescriptions and functional testing on your behalf

  • To communicate with you about your care

  • To meet our legal and professional obligations

We will only use your information for these purposes, or as you otherwise consent to, or as required by law.

Who we share it with

We never sell your information. We share it only as needed to care for you:

  • Our practice management system, Cliniko, which stores records and handles bookings

  • Online practitioner dispensaries, vita.ly or Dispensary & Co, to fill your prescriptions

  • Testing laboratories, Microba or NutriPATH, when you agree to functional testing

  • Our payment provider, Stripe

  • Other health practitioners, only with your consent

We may also disclose information where required or authorised by law, or to prevent a serious threat to someone's life, health or safety.

Overseas disclosure

Some of our service providers, including Cliniko's subprocessors and our website platform, operate in the United States. Where information is held or accessed overseas, we take reasonable steps to ensure it is handled in line with Australian privacy law.

How we store and protect it

Your records are kept in Cliniko, a secure, password-protected practice management system. We take reasonable steps to protect your information from misuse, loss and unauthorised access.

We keep health records for at least 7 years after your last consultation, or until you turn 25 if you were under 18 when we collected them, as required by NSW law. After that, records are securely destroyed.

If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner.

Accessing and correcting your information

You can ask to see or correct the information we hold about you at any time by emailing samantha@artemisapotheca.com. We will respond within 30 days. In rare cases the law allows us to refuse access; if so, we will explain why.

Website and cookies

Our website uses cookies and basic analytics through our website platform to understand how the site is used. You can manage cookies through your browser settings. Booking forms are handled securely through Cliniko.
